Groupe Immobilier Katia Samson is looking for a assiduous real estate administrative assistant. You will be responsible for managing all documents in a timely manner, informing clients and the broker of approaching deadlines, and ensuring that each transaction goes through the proper legal channels. As a hard-working team player motivated and efficient, you have superb organizational skills, a talent for customer service and a solid understanding of the real estate transaction process.

Duties and responsibilities:

Skills: experience as an assistant and/or in real estate brokerage; organizational skills and work plan; good command of French and written English; mastery of tools (Saisie,Prospects, JLR, eZmax, Matrix, Word, Excel); bilingual; dynamic, organized and autonomous.

  • Follow-up on transactions with customers and brokers
  • Optimize the database;
  • Execute action plans;
  • Prepare letters, promotions, mailings and other related tasks.
  • Write, edit and format documents and correspondence.
  • Liaison with brokers, potential customers and notaries
  • A self-employed worker who is driven to seek out tasks
  • Provide administrative support to the team.
  • Must have a work ethic focused on organization, cleanliness and orderliness.
  • An experienced administrator who is comfortable and enjoys working in a quiet environment.
  • Provide good customer service on the phone or by e-mail with customers and brokers
  • Work with multiple systems, both physical and digital, to keep all files organized
  • Maintain and communicate effectively with customers and ensure that all tasks are handled promptly and thoroughly.

Qualifications and experience:

  • Autonomous and proactive attitude to assist brokers in their tasks
  • Ability to liaise between all parties involved (brokers, customers, buyers and sellers, notaries) and bring files to a successful conclusion
  • Ability to support the team through a variety of tasks and projects
  • Ability to compose/respond to e-mails in a professional manner
  • Ability to work under pressure and make quick decisions
  • Ability to be organized and have good customer service skills
  • Experience in administrative support.
  • Real estate experience an asset
  • Ability to work quickly across multiple programs
  • Eager and quick to learn new software
  • Excellent written and spoken English/French.

Hours: 30-40/week

Start date: As soon as possible

Job type: Full-time, Part-time, Permanent

Salary: $22.00 to $28.00 per hour depending on experience and skills

Monday-Friday 9am-5pm; flexible hours.
